How to manage Roles, Permissions & Members

In this article, you’ll learn how to manage the roles, permissions, and members of your VTC page.

Managing Roles

You can use roles to give separate roles and give extra permissions to your VTC staff team.

  1. Menu Button

    • Open the role list using the menu on the left of your VTC page.

  2. Role List
    Here you can see a full list of the roles in your VTC. To change the order of the roles, you have to do the following:

  • Drag the role you want to move to the position you want it to have.
  • Click on "Save Order" to save the new order of your roles. SaveOrderButton

Rolelist

This system is setup as the following:

  • The higher level a role has, the higher that role is in the chain of command.
  • You can only assign roles with a lower level than what your own role has.
  • Two roles cannot have the same level.

For example:

  • Role 1 has a level of 50.

  • Role 2 has a level of 20.

  • Role 3 has a level of 10.

  • Role 1 can assign both 2 and 3.

  • Role 2 can assign only 3.

  • Role 3 can’t assign any roles due to no roles having a lower level.

  1. Add Role
  • To add a new role, click on "Create a role". CreateRoleButton
  • Give a name for the new role you want to create.
  • Click on "Create" to confirm that you want to create a new role. CreateButton

Giving permissions to this role will be explained in the next step.

  1. Edit Role

    • To edit a role, click on "Edit" on the role you want to edit.
    • Now you can change the name and permissions of the role.
    • Once you are done, click on "Update" to confirm the changes you have made. UpdateButton
  2. Delete Role
    Keep in mind that you can't delete the "Owner" role and the current role assigned to yourself.

    • To delete a role, click on "Edit" on the role you want to delete.
    • Scroll to the bottom of the page and click "Delete" to delete this role. DeleteButton
    • Confirm that you want to delete the role by clicking on "Delete" again.

Managing Permissions

You can manage VTC permissions to fine-tune what your VTC staff team can do in the different aspects of your VTC page.

The VTC Permissions are split into different categories for easy management. By giving the ‘’Manage’’ permission under any category, you will automatically assign all permissions within that category.

News

By giving the “Manage news” permission, you allow the role to view news administration, view disabled news, and create, edit, and delete news.

  • Create news: roles with this permission can post news posts to your VTC page.
  • Delete news: roles with this permission can remove news posts published to your VTC.
  • View news administration: roles with this permission can see the admin overview for all news posts submitted to your VTC page.
  • Edit news: roles with this permission can edit news posts, such as the content, visibility, pinned status and position.
  • View disabled news: roles with this permission can see hidden news posts that are not visible to any other member of your VTC or the public.

News reactions

By giving the “Manage news reactions” permission, you allow the role to view administration, and create and delete news reactions.

  • Create news reactions: roles with this permission can create reactions.
  • View news reactions administration: roles with this permission can view the administration of reactions.
  • Delete news reactions: roles with this permission can remove reactions.

Recruitment

By giving the “Manage recruitment” permission, you allow the role to view applications administration, assign staff, manage canned messages, and edit and comment on applications.

  • Edit applications: roles with this permission can change the status of applications such as in-progress, as well as to accept/decline applications.
  • Comment: roles with this permission can add both public and private comments on applications.
  • View applications administration: roles with this permission can see the admin overview for all applications submitted to your VTC.
  • Assign staff: roles with this permission can assign applications to a member of your VTC with the “edit applications” permission, without needing to do it themselves.
  • Manage canned messages: roles with this permission can create and edit canned messages.

Recruitment form

By giving the “Manage VTC recruitment forms” permission, you allow the role to view, create, update, edit, add, and delete VTC recruitment forms and form fields.

  • Create VTC recruitment form: roles with this permission can create a new recruitment form.
  • Delete VTC recruitment form: roles with this permission can delete any recruitment form.
  • Edit VTC recruitment form field: roles with this permission can edit any form field on a recruitment form.
  • View VTC recruitment forms: roles with this permission can view any recruitment form.
  • Update VTC recruitment form: roles with this permission can update any recruitment form, such as the name, description, opening and closing dates.
  • Add VTC recruitment form field: roles with this permission can add a form field on a recruitment form.
  • Delete VTC recruitment form field: roles with this permission can delete any form field on a recruitment form.

Management

By giving the “Manage VTC permission”, you allow the role to view members’ activity, manage members, kick members, manage roles, and change VTC information.

  • Manage roles: roles with this permission can create new, delete existing and change the permissions for roles within your VTC.
  • View members activity: roles with this permission can view your VTC’s overall member activity.
  • Can kick members: roles with this permission can remove members from the company.
  • Manage members: roles with this permission can change which role other members have.

Blacklist

By giving the “Manage blacklist” permission, you allow the role to view, create, edit, and delete blacklists.

  • Create blacklist: roles with this permission can add new people to the blacklist.
  • Delete blacklist: roles with this permission can remove people from the blacklist.
  • View blacklist: roles with this permission can see who is on the blacklist.
  • Edit blacklist: roles with this permission can edit information for users on the blacklist.

Gallery

By giving the “Manage gallery” permission, you allow the role to view the gallery admin panel, upload pictures, and edit and delete any pictures, including their own.

The gallery feature is only available to Validated and Verified VTCs. For regular VTCs, these options will have no effect. Click here to learn more about the gallery feature.

  • Upload picture: roles with this permission can add images to the gallery.
  • Edit ANY picture: roles with this permission can change the information of images on the gallery, including those not their own.
  • Delete ANY picture: roles with this permission can remove images from the gallery, including those not their own.
  • View admin panel for the gallery: roles with this permission can see the admin overview for their VTC gallery, for quick viewing & editing of images.
  • Edit picture: roles with this permission can change the information for their own images.
  • Delete picture: roles with this permission can remove their own images from the gallery.

Events

By giving the “Manage events” permission, you allow the role to view the events admin panel, manage slot bookings and event attendance, and create, modify, and delete any scheduled event hosted by your VTC on the Event System.

  • Manage event attendance: roles with this permission can update the VTC’s attendance status.
  • Edit event: roles with this permission can make changes to events they individually scheduled in the name of your VTC.
  • Delete events: roles with this permission can remove events they individually scheduled in the name of your VTC.
  • Manage slot bookings: roles with this permission can manage slots for events created by the VTC and can approve/deny slot requests
  • View admin panel for the events: roles with this permission can see the admin overview for events created in the name of your VTC.
  • Create event: roles with this permission can create events on the VTC system, in the name of your VTC as opposed to themselves.
  • Edit ANY events: roles with this permission can edit the information of any event created in the name of your VTC.
  • Delete ANY events: roles with this permission can remove any event scheduled in the name of your VTC.

Invitations

By giving the “Manage invitations” permission, you allow the role to create, delete, view and edit any invitations by your VTC.

  • Create invitations: roles with this permission can create invitations.
  • Delete invitations: roles with this permission can delete invitations.
  • View invitations: roles with this permission can view invitations.
  • Edit invitations: roles with this permission can edit invitations.

Partnerships

By giving the “Manage partnerships” permission, you allow the role to create, view, and action any partnerships by your VTC.

  • Create partnership request: roles with this permission can send other VTCs a request for partnership.
  • View partnership requests: roles with this permission can view all partnership requests.
  • Action partnership requests: roles with this permission can accept and decline incoming partnership requests.

Contact

By giving the “Manage contact tickets” permission, you allow the role to view all tickets, disable/enable contact ability, view assigned tickets, action, and manage categories of any tickets by your VTC.

  • View all tickets: roles with this permission can view all contact tickets for the VTC.
  • Disable/enable contact ability: roles with this permission can blacklist a user from creating new tickets.
  • View assigned tickets: roles with this permission can view tickets for the VTC that are assigned to them.
  • Action tickets: roles with this permission can claim, close and change the status of viewable tickets.
  • Manage categories: roles with this permission can manage the available categories for the contact system.

Managing Members

You can manage VTC members to view everyone within your VTC, update their roles, and remove them from the VTC if necessary.

  1. Menu Button Open the list of members of your VTC by clicking on "View More" on the bottom right of your VTC page.

  1. Member List Here you can see a list of members in your VTC. At the top, you also have a search bar to look for a specific member.

If you have the correct permissions within the VTC, you will also be able to see the following icons:

  • BannedIcon - This icon means that this member is currently banned.

  • ExceeedIcon - This icon means that this member is exceeding the ban limit that you have set for your VTC.

  • EditIcon - This icon means that you can manage this member.

  1. Edit Member

You can edit a member of your VTC by clicking on EditIcon next to their name.

On this page you can:

  • Update the role of a user by selecting a new role from the list and then clicking on the "Update" button. UpdateButton

  • Kick a member from your VTC by clicking on the "Kick" button.
